ACH Transaction

An ACH transaction is an electronic transfer of money between bank accounts across a secure network. It handles everyday digital money movements like direct payroll deposits and automatic bill payments without needing paper cheques or cash.

What it means

ACH stands for Automated Clearing House, which is the central network connecting banks together. Instead of moving money instantly like a wire transfer, ACH transactions are typically gathered into batches and processed at scheduled times during the day.

This batch processing makes the system extremely cost-effective for businesses, often costing pennies per transaction compared to the high fees associated with credit cards or wire transfers. For non-finance managers, understanding ACH is essential because it forms the backbone of how most companies pay staff and collect money from clients.

There are two main types of ACH transactions: credits and debits. An ACH credit is when you push money out, such as paying a supplier or running payroll.

An ACH debit is when you pull money in, such as automatically withdrawing a monthly subscription fee from a customer account with their prior permission. While incredibly efficient, ACH transfers are not instant.

Standard ACH payments usually take between one to three business days to clear, although same-day options are increasingly available for a small fee. Because these transfers rely on bank routing and account numbers, accuracy is vital.

A single typo can lead to delayed payments or returned items, making proper verification processes a priority for operational finance teams.

In practice

Real-world examples.

1

Example

TechFlow pays its five remote developers a total of 15,000 pounds every month via ACH direct deposit, keeping administrative fees to less than ten pence per person.

2

Example

GreenSpace Landscaping uses ACH debits to automatically collect 150 pounds each month from 40 regular commercial clients, ensuring reliable cash flow without manual invoicing.

3

Example

A boutique hotel books a bulk corporate retreat and uses an ACH transfer of 12,000 pounds to settle the invoice securely, avoiding merchant card processing limits and fees.

Think of it

An ACH transaction is like a scheduled postal delivery bus. Instead of hiring a special sports car to deliver every single letter immediately, the post office collects all the letters into a big bag and runs them to the destination at set times every day.

Formula

Calculation

Net ACH Cost = (Total Number of Transactions x Standard Per-Transaction Fee) + Same-Day Surcharges (if applicable). Example: Processing 500 supplier payments at 0.20 pounds each plus 20 same-day rush payments at 1.00 pound each results in: (500 x 0.20) + (20 x 1.00) = 100.00 + 20.00 = 120.00 pounds total cost.

Case study

Seen in the real world.

BrightBox Coffee supplies artisanal beans to 60 independent cafes across the region. Previously, they relied on physical cheques, which created major cash flow delays as cheques spent days in the post or sat on managers desks. Operations manager Sarah decided to transition all regular wholesale accounts to ACH direct debits. She gathered signed authorisation forms from each cafe, allowing BrightBox to pull funds directly on the first of every month. The results were immediate. Collection times dropped from an average of 25 days down to just two business days. Furthermore, administrative time spent chasing overdue payments fell by 80 percent, and banking fees dropped by over 1,500 pounds annually compared to credit card processing charges. By moving to ACH, BrightBox secured predictable cash flow, enabling them to purchase bulk inventory without taking out short-term loans.

Watch out

Common mistakes.

  • Assuming ACH transfers are instant and releasing goods or services before the bank confirms the funds have actually cleared.
  • Failing to secure proper written or digital authorisation from customers before initiating ACH debits from their accounts.
  • Not checking bank routing and account numbers carefully, leading to unnecessary delays and return fees from failed transactions.
