Cleared Funds

Cleared funds are payments that have fully moved from the sender's bank account to your business bank account and are ready to spend. Unlike pending payments, these funds are legally and securely yours.

This status prevents cash flow surprises by ensuring the money is genuinely accessible.

What it means

In business, there is a big difference between money that appears in your account and money you can actually use. When a customer pays by cheque or card, the bank shows the balance increasing immediately, but the transaction takes time to process behind the scenes.

Until that background process finishes, the money is not fully settled. Cleared funds mean the transaction is complete and the bank guarantees the money is safe to withdraw or spend.

Ignoring this distinction can lead to bounced payments and bank fees if you spend money that has not actually arrived yet. For non-finance managers, understanding cleared funds is vital for managing working capital.

You should never release high-value goods, ship inventory, or pay critical suppliers based only on a receipt confirmation or a pending bank notification. Always verify that payments have cleared.

Different payment methods take different times to clear. Direct bank transfers often clear quickly, while international wires, card payments, and cheques can take several working days.
