What it means
A delivery can be unloaded without becoming saleable stock, because a warehouse may need to count it, inspect condition or match the product and batch to a purchase order. If staff put it directly into pickable inventory, a customer could receive wrong or unapproved goods.
A receipt hold creates a clear boundary between physical custody and approved availability. Record the shipment reference, supplier, item, lot, counted quantity and hold reason, physically mark or segregate the goods where needed, and apply a matching system status.
A pallet labelled "hold" while the system says "available" is unsafe; a system hold with no location can leave staff searching for it. Some systems can place a hold automatically at receipt by lot or pallet identifier, which reduces reliance on a picker noticing a handwritten label, but the configuration must match the actual reason.
Assign a reviewer and next action, since a short shipment may require supplier confirmation, damaged items may need photos and a claim, and a missing certificate may need validation. The buyer, quality team or warehouse supervisor can have different approval roles, and a receipt hold should not sit indefinitely because no one knows who owns the decision.
Record a review date and escalate ageing cases while keeping unresolved goods blocked. Separate financial recognition from operational availability, because goods physically received and held for quality may still require accounting treatment under ownership and reporting rules.
Conversely, supplier-owned consignment goods may be on site without being purchased, so the hold status alone does not answer the inventory-accounting question. A timed release may suit a defined waiting period, but it is not suitable for an unresolved damage or identity question without review.
When a hold is resolved, document accepted, returned, reworked or rejected quantities, and if only part of the delivery passes, split quantities and locations and release that part with traceable IDs while keeping the rest held with its reason and evidence. A blanket status change at shipment level can accidentally make suspect cartons available.
Update the purchase order, supplier invoice or claim record as appropriate, and do not change the original receipt to hide the discrepancy. For managers, the hold protects customers while giving a measurable workflow for resolving exceptions.
The best measure is not zero holds; it is fast, supported decisions on real issues.

This illustrative and entirely fictional example follows Cedar Electronics, an invented parts reseller. A supplier delivered a shipment with mixed model numbers. Receiving scanned the outer carton code and made the whole delivery available. Pickers sent the wrong model to two customers before anyone noticed.
Cedar recalled the affected allocations and checked every carton. It introduced a receipt hold for mixed or mismatched codes, with a named product specialist to approve partial release. The warehouse linked the physical hold area to system stock status and kept the supplier's original packing list. The next mismatch was contained before an order shipped.
The team also tracked time on hold to prevent genuine customer orders from disappearing into an unowned queue. Cedar tests a partial release after a later shipment. The specialist approves only cartons whose individual model labels match the order. The system shows the accepted quantity as pickable while the unmatched cartons stay in a marked hold location with an investigation owner.
