If a quote has no explicit expiry, use the applicable supplier terms and obtain clarification when the decision depends on it, and do not invent an indefinite validity period.
Check whether a supplier explicitly withdraws or revises the offer, because a future printed expiry date does not guarantee an offer remains available under every set of terms, and when procurement accepts only some bid lines verify terms on each line, since one valid line does not make the whole quotation applicable to unrelated items. Define the denominator as selected supplier quote lines used at the decision gate, or all evaluated lines if that is the internal control, and state which population the rate measures.
Record valid, expired, conditional, superseded and unverified lines separately, since a conditional offer needs a different action from an already expired one, and keep time zones and local dates clear for international suppliers, because a quote expiring Friday at the supplier's local close may expire before the buyer's Friday ends. If approval takes several days recheck validity before purchase-order release, audit selected awards from purchase order through versioned quote, date, conditions and supplier response, and use patterns to shorten approvals or seek longer firm offers, since repeated expiries may indicate a process delay rather than careless suppliers; show the value and urgency of affected purchase orders with the rate, because one expired quote on a major order can matter more than several small RFQs, and aim for an order whose price, quantity and delivery promise match an offer still usable at the commitment point.

This fictional case follows Birchline Construction. An order approval sat for two weeks after quote comparison. Before issuing the purchase order, procurement noticed the supplier validity date had passed and obtained a revised written offer.
The case is invented and names no real supplier. Birchline then added a validity recheck step just before purchase-order release, with the quote version and expiry date shown on the approval screen. The next audit found that approval delay, not careless suppliers, was behind most of the earlier expiries.
