What it means
A company books 40 rooms for three nights. If every room is actually taken for each night, that is 120 occupied room nights, not 40 guests and not one three-night booking.

These sources support careful use of the unit, although property policies can differ on complimentary rooms and out-of-order inventory. For available room nights, multiply usable rooms by nights in the period, so a 100-room property open for 30 nights ordinarily has 3,000 potential available room nights before any permitted exclusions.
Room nights sold are paid room use under the reporting rule, and you should not assume every reservation is a completed stay. Booked room nights are the future reservations on hand, and they can change through cancellation, modification or no-show.
A group block is not always a firm sale either, because some rooms may be released before the cut-off date. Complimentary rooms may count differently in occupancy, sold-room and revenue measures, so label the treatment.
Out-of-order rooms can reduce usable inventory under some conventions, and changing this rule mid-period can move the apparent occupancy rate without any new demand. A suite still represents one unit if it is sold as one room under the property's inventory model, but complex configurations should be checked.
Room nights differ from guest nights and from reservations. Two people sharing a room for one night create one room night but two guest nights, and one booking can contain multiple rooms and dates.
Use the same time zone and hotel operating date across systems, or a late-night arrival can fall into different periods. Room-night volume helps forecast housekeeping, breakfast and staffing, but guest count and arrival pattern matter too.
Occupancy rate divides sold or occupied room nights by available room nights, average daily rate divides room revenue by rooms sold, and revenue per available room combines price and occupancy. A hotel can raise room nights with deep discounts and still lower profit, so pair volume with rate and cost, and report occupied, sold, booked and available room nights as distinct labels rather than a single ambiguous "nights".

Worked example: a 100-room hotel is open for 30 nights, so available room nights = 100 x 30 = 3,000. During the month it sells 2,100 room nights and earns $273,000 in room revenue. Occupancy = 2,100 / 3,000 = 70%, and average daily rate = $273,000 / 2,100 = $130.
Revenue per available room night = $273,000 / 3,000 = $91, which is the same as 70% x $130. If a corporate group then books 25 rooms for four nights, that adds 25 x 4 = 100 booked room nights, which count towards sold room nights only once the stays are completed.Case study

In this fictional case, Shore Hotel found its sales and operations reports disagreed on room nights. The sales team counted every booked night, while operations counted only occupied nights and excluded complimentary stays. The case is invented. The team traced the gap to complimentary stays and out-of-order rooms, then standardised the labels as booked, sold, occupied and available room nights.
Staffing forecasts were rebuilt on occupied room nights, which removed the over-rostering that the sales figure had caused. Management also agreed to disclose any change in the treatment of out-of-order rooms. The monthly occupancy figure then became comparable from one period to the next.
