A supplier ships the right number of components but uses cartons too weak for the agreed handling route. Procurement supplier packaging specification compliance checks whether the delivered pack meets the current requirements for protection, identification and receiving.
Define the specification in the purchase agreement, drawing or approved logistics instruction, since a generic request for suitable packaging can be too vague to evaluate consistently. List item-level protection, case quantity, pallet pattern, weight limit, label and handling requirements, noting that some products also need moisture, temperature or contamination controls.
GS1 publishes logistic-label guidance for identifying handling units, which can support a label requirement, but adoption depends on the agreement and receiving network. Check supplier, manufacturing site, item revision and effective date, because packaging approved for an old product geometry may no longer protect a redesigned part.
At receipt, inspect the physical pack and compare it with the documented requirement, since an advance shipment notice can be accurate while the cartons themselves are wrong. Distinguish damage from specification noncompliance, because a compliant pack can be mishandled in transit while a noncompliant pack might arrive intact by luck.
Check inner and outer packaging separately, as a strong pallet wrap cannot compensate for loose sensitive parts inside a box. For returnable containers, verify ownership, cleanliness and cycle state, since the right container type can still be unusable if it is damaged or contaminated.
For hazardous or regulated materials, confirm the applicable legal packaging rules with qualified owners, because this operational metric does not define universal shipping law. If a supplier changes packaging to reduce cost, require approval where the agreement says so, since a visually similar carton can have different stacking strength.
Check label legibility and barcode content, because a correctly printed shipping label can still identify the wrong lot or quantity, and for mixed pallets record composition and separation, since a single pallet label may be insufficient if receiving must locate each product lot. If pack quantity differs, reconcile purchasing and receiving units of measure, as a ten-piece box received as one piece can create stock and invoice errors.
Specify sampling and inspection frequency, because inspecting only the top carton may miss inconsistent packing across a large shipment, and for overseas routes consider handling steps and transport mode, since a pack proven for local van delivery may not fit ocean transport. If damage or leakage is observed, isolate affected goods under the site process before counting them available, because a packaging score is not a product release decision, and when an exception is approved preserve the affected shipment, temporary alternative and owner so a one-time waiver does not silently change the standing specification.
Define the denominator as inspected supplier shipments, pallets or cases under an active packaging specification, state the unit so rates are comparable, and classify wrong material, wrong pack count, label error, inadequate protection and missing returnable container separately, because each needs a different supplier response, while checking reusable or recyclable claims only against the intended receiving and waste route, since environmental claims do not replace product-protection evidence. Audit a sample from accepted packaging specification through supplier acknowledgment, receiving photos, inspection and disposition, because a purchase-order note alone is weak evidence, show damage and handling cost alongside compliance since a high pass rate can hide a costly recurring failure on one sensitive part, and use the measure to improve supplier instructions so goods arrive identifiable and protected, not merely in standardised boxes.

The 24 failures break down as 9 label errors, 7 wrong pack counts, 5 inadequate protection and 3 missing returnable containers, which sum to 24. If the 5 protection failures led to $3,500 of damaged components, that cost is reported beside the 88% so the supplier sees where the money was lost.Case study

This fictional case follows Meadowline Lighting. A supplier switched to larger cartons, leaving delicate housings loose despite the correct total quantity. Receiving flagged the packaging deviation and procurement approved a revised insert trial.
The case is invented and does not describe a real vendor incident. The trial insert was approved for the named housings only, and the exception was recorded with an end date. Meadowline's follow-up inspections of later pallets confirmed that the standing specification had not been changed by the waiver.
